Why this is needed

It helps your report show you the right data.

Data Studio, previously called Looker Studio, can filter a report using the email address of the person viewing it. To do that safely, Google first needs to know who is signed in.

Your Google-linked account gives your own company address a secure Google sign-in. When you open the report and allow it to use your email address, the report can match that address to the applicable records and show only the data intended for you or your company.

A common mix-up

Google Account does not mean Gmail.

Google Account

A secure identity used to sign in to Google services. It can use an email you already own, such as [email protected].

Gmail account

A Google Account that also includes a new @gmail.com address and Gmail inbox. You do not normally need this for an Etashi report, but it is a useful fallback if Google will not accept your company email.

You are giving your existing work email a Google sign-in. You are not changing the address, moving the mailbox or replacing your company’s email system.

Keep it nearby. Google may ask you to scan a QR code to verify the setup.

Step by step

Create your account.

Open Google

Start a new Google Account.

Open Google’s account creation page. If a menu appears, choose For my personal use. Google currently uses this option for creating an account with an existing non-Gmail address, even when that address is your work email.

Basic information

Enter your details.

Enter your first and last name, then select Next. Google may ask for your birthday and gender before it asks which email you want to use. Follow the on-screen prompts.

Tip: Use your real details so account recovery and security checks work properly.

The important choice

Choose “Use your existing email”.

When Google suggests a Gmail address, choose Use your existing email. Enter your own company email and select Next. For example, Peter would enter [email protected]; you should enter your own address.

For this preferred method, use your existing company address. If Google will not allow it, use the Gmail fallback below.

Confirm ownership

Verify your company email.

Google will email a verification code to the company address you entered. Open that message, copy the code, return to the Google sign-up tab, enter the code and select Next.

No email? Check spam or junk. You can also ask your IT team to allow messages from [email protected].

Finish securely

Create a password and finish.

Create a strong password for this Google Account and complete the remaining on-screen steps. Add a recovery phone number if appropriate, review Google’s terms, and finish the account setup.

Keep your phone ready: Google may show a QR code during verification. Open your phone’s camera, scan the code and follow the instructions on your phone. If Google offers another verification method, follow the option shown on screen.

You can now sign in to Google using your own company email plus the new Google password, then open the Data Studio report shared with you.

You’re ready. Your work email is now your Google Account sign-in.

Final account check

Confirm Data Studio is using the right account.

It is common to have a personal Google Account and a work Google Account open in the same browser. Before using the report filters, check that Data Studio is using the company email that was given access.

  1. Open the Etashi report. Wait for the Data Studio report to finish loading.
  2. Look in the top-right corner. Find the round profile picture or initial.
  3. Check the email address. Point to the profile icon or select it. Confirm the email shown is the company address linked to your report access.

Correct: The email shown matches the company address that should see the report. [email protected] is only an example.

If the email is wrong

  1. Select the profile icon in the top-right corner.
  2. Choose the correct company account from the list.
  3. If it is not listed, choose Add another account and sign in with your company email and Google Account password.
  4. Return to the Etashi report, refresh it and check the profile icon again.

If the correct email is displayed but the report is blank or shows the wrong data, ask your Etashi contact to confirm the email has the right report access and data records.

Etashi fallback option

If the company email setup does not work, create a Gmail account.

Sometimes Google will not allow the same mobile number to verify another Google Account linked to a custom company email. If Google will not accept your number, or you cannot complete the custom-email setup, there is another way to access the report.

Create a new Gmail account and send the exact new @gmail.com address to your Etashi contact. We can then provide report access to that account. Never send us the password.

Choose a clear address you will recognise and keep the password safe.

Send the address to Etashi

Share only the new Gmail address, never the password.

Wait for access confirmation

Etashi will grant report access to that Gmail account.

Use that account for the report

Open Data Studio while signed in with the new Gmail address and check the profile icon.

Troubleshooting

If Google says the email is already in use.

That normally means the address already has a Google Account or is linked to a Google Workspace visitor session. Try signing in or recovering the account before creating a new one.

Will this change where my email is delivered?

No. Your company continues to host and deliver your email. You are only using the same address as the name of your Google Account.

Do I need to create a Gmail inbox?

Normally, no. Start with “Use your existing email.” If Google will not let you complete the company-email setup, create a Gmail account and send Etashi the new address so we can provide report access.

Which password should I use?

Create a password for the Google Account. It does not have to match your company email password, and you should never share either password.

What if my company blocks Google Accounts?

Contact your company’s IT administrator. Some organisations manage account creation or restrict access to Google services.
