What happens when they’re on leave?
The problem
Thousands of documents. Multiple systems. The search delays replies, interrupts colleagues and risks missing the latest information.
“What have we agreed with this customer, and which terms apply?”
Bring the knowledge together
Connect approved information so your people can ask in one place.
From scattered sources to connected company knowledge.
Approved company knowledge. Access controlled by role.
Introducing VaultIQ
The same employee. The same question. One direct route.
Approved sources. Access controlled by role. Each person sees only what they are authorised to access.
From searching to understanding
The question spans an agreement, an amendment and an email. Finding one document does not settle it. The answer needs to connect the evidence.
Ask in everyday languageStart with the question your employee actually has.
See the supporting evidenceTrace the answer back to the relevant documents.
Know when to check furtherMissing or conflicting information needs review, not a guess.
The signed agreement sets a 30-day payment term [1]. A later signed amendment extends support through December [2].
The email mentions an additional discount, but the documents shown here do not confirm its approval [3].
Check approval before applying the discount.[1] Signed agreement · Payment terms, §4

Live demonstration
A demonstration is where we test the idea: can a question be answered from the available sources, and can you check the supporting evidence?
Open live demovaultiq.etashi.com↗The previous slide uses fictional documents. The live environment is separate; available sources and capabilities depend on its configuration.Beyond the first knowledge use case
Company knowledge is one starting solution. Agreed tools and workflows can also become part of the same branded VaultIQ portal.
Begin with the knowledge problem we have just explored and an agreed set of documents and users.
A dashboard, workflow or client-facing tool can be configured or developed to an agreed scope.
The included active development workstream can build the starting solution or progress a later agreed improvement, within fair use.
Start with one outcome. Add capabilities when justified. Additional live modules carry separate recurring fees; complex integrations and work beyond the included scope are agreed separately.
A focused starting point
Scope the first outcome together before committing to a rollout.
Identify the people who need the answer and the decisions it supports.
Confirm source systems, document owners, versions and access permissions. Check what can be connected.
Agree responsibilities, dependencies, acceptance criteria and a delivery plan. Separate configuration from any required development.
A client-specific build may continue beyond the first month. Agree what will be available to evaluate and when.
Evidence before expansion
Agree the baseline and success criteria with your team. No assumed savings.
For representative questions, count everyone involved and their total time searching, reading and checking.
Check answers against the agreed sources and permissions. Include missing information, conflicting versions and questions the sources cannot answer.
Include review, corrections and escalations. Compare equivalent questions and answer quality, then assess whether the value supports the cost.
Faster is useful only if the answer is fit for the task. Keep human approval where the decision requires it.
More than access to answers
The subscription combines managed operation with one active client-specific development workstream.
Hosting, monitoring, maintenance, security patching, backups and business-hours support.
Managed operation continues.A module or improvement progresses within reasonable fair-use capacity. Priorities are agreed together.
One priority at a time, alongside operation. One workstream at a time, covering the starting solution or a later improvement. Delivery pace depends on scope and reasonable fair-use capacity.
VAULTIQ MANAGED SERVICE
Month to month, with 30 days’ written cancellation notice. Usage above the allowance, additional live modules and separately scoped work can add to the fee.
Illustrative break-even calculation
At an assumed €100 per staff-hour, this would cover the base subscription. What would it take in your business?
100 person-minutes per question
10 minutes, including reading and checking
90 minutes released per question = 1.5 hours.
At an assumed €100 per staff-hour, that is €150 of capacity value per question.
33 comparable questions per month would release 49.5 hours, valued at €4,950, enough to cover the monthly base fee in this illustration.
Illustrative assumptions, not measured customer results or promised savings. This covers the base fee alone. Time released is capacity, not an automatic payroll saving. Include internal setup, upkeep, extra charges and any non-recoverable tax in your own calculation.
The next conversation
Bring one repeated question, its source documents and an estimate of the people and time involved. Together, we can define a first scope and check whether the business case is credible.
Discuss a focused starting scope ↗Appendix · Build on that foundation
Once the knowledge problem is clear, extend the solution with a client portal, internal tool, dashboard or workflow built around the systems your team already uses.
Use approved data and established systems as the starting point.
Develop the specific experience or process your people need.
Structure data, permissions and workflows so AI can use them when it adds value.
Start with access to useful knowledge. Add the next capability when it solves a clear business problem.
Appendix · What is included
YOUR STARTING POINT
We agree one useful outcome together. If an existing capability fits, we configure it. If none fits, we develop the starting solution through the active build track. Then we agree what comes next.
Appendix · Commercial terms
No long-term commitment. Cancel with 30 days’ written notice.
Your first month is a practical evaluation period. If VaultIQ is not right for the business, notify us before the next billing date. The first month remains payable, but there will be no second base subscription fee.
An existing capability can be configured where it fits, or the starting solution can be developed through the active fair-use workstream. A client-specific build may continue beyond the first month.
There is no prepaid hour bank. Parallel build tracks, accelerated delivery and work beyond fair use require separate scope.
Additional standard live modules beyond the initial solution: €500/month each.
Provider charges above the allowance, complex integrations or migrations, further bespoke solutions and 24 × 7 coverage remain outside the base fee.
Agree the solution scope and what will be available to evaluate before starting. The service agreement records the engagement terms.
